Vysyonary Media ("Vysyonary Media," "we," "us," or "our") operates this website. This Privacy Policy explains what information we collect when you visit this site or submit a project inquiry, how we use it, who we share it with, and the choices available to you. It does not apply to any separate systems described below as not yet active.

1. Your consent

Simply visiting or browsing this website does not mean you agree to anything beyond what is described in this policy. We only ask for your affirmative consent to be contacted about a project when you voluntarily submit the inquiry form and check the consent box next to it. That checkbox — and this policy — govern that specific interaction. Browsing the site on its own does not enroll you in any marketing list, and we do not treat page views as consent to anything.

2. Information we collect

2.1 Information you provide directly

When you submit the "Tell Us About Your Project" inquiry form, we collect the fields you fill in. As of this update, those fields are:

• First name and last name
• Email address
• Business or organization name
• Phone number (optional) — the only field on this form you are not required to fill in. A phone number may be collected here, or separately, if you choose to book a discovery call through our Google Calendar scheduling link.
• Service or project type, and the package/length you're interested in
• A description of your project or vision, in your own words
• Your target date
• How you heard about us
• Your acknowledgment that you've read this Privacy Policy and our Terms of Use, and your consent to be contacted about your inquiry

With the single exception of the phone number field noted above, every field listed is required in order to submit the form.

If you use the "Schedule a Discovery Call" link, you'll be taken to our Google Calendar booking page, which is operated by Google, not by us directly. Any information you provide there (which may include a phone number) is subject to Google's own privacy practices as well as this policy once it reaches us.

2.2 Technical information collected automatically

Vercel, our hosting provider, processes standard web-request information (such as IP address, browser or user-agent information, and request timestamps) in the ordinary course of serving this website and running its backend functions — this is standard for any website host and is not something we configure directly. In addition, our inquiry system itself specifically captures and uses:

• IP address — read from a trusted, Vercel-provided request header (we do not trust headers a visitor could spoof). Your raw IP address may be written, unhashed, to our hosting provider's operational request logs (Vercel Function Logs) when certain events occur — for example, an oversized request, a rate-limited submission, or a failed database write — solely to operate and secure the site. Your raw IP address is also written, unhashed, to a short-lived database table for rate-limiting, as described in the Rate-limit information entry below.
• Request timestamps — recorded with each submission and log entry.
• Security and error logs — structured logs generated when the inquiry system processes a request. These logs are deliberately built to include only technical details — record identifiers, IP addresses, true/false outcome flags, and error codes or generic error messages. They never include your name, email address, phone number, or project description text.
• Rate-limit information — each inquiry-form submission attempt writes your raw, unhashed IP address and a timestamp to a dedicated database table. That table is used only to count how many submissions have come from a given IP address in the current 10-minute window (a maximum of 5 are allowed before further submissions from that address are temporarily blocked). Entries are automatically deleted on an ongoing basis, roughly 30 minutes after they are created. This information is used only to detect and block excessive or automated submissions and is stored in Supabase, our database provider. It is not included in the inquiry data sent to Zapier or Resend.
• Duplicate-submission identifiers — when you submit the form, your browser generates a random, functional token and briefly stores it in your browser's sessionStorage (not a cookie) so that if you accidentally submit twice — for example, by double-clicking or your connection retrying — we can recognize the duplicate and avoid creating a second record or sending a second notification email. This token is cleared automatically once your submission succeeds, is not used for advertising or analytics, and is not shared with any third party. A separate copy of this identifier is also generated on our server and stored with your inquiry record for the same duplicate-prevention purpose.

We do not treat any of the information above as non-identifying — IP addresses, logs, and similar technical data can, in some circumstances, be linked back to an individual, and we handle them with that in mind.

2.3 What we don't collect

This site does not use advertising cookies, analytics trackers, social-media pixels, or session-recording tools of any kind. We do not run Google Analytics, Meta Pixel, or any similar service on this site as of this update.

3. How we use your information

• To respond to your inquiry and follow up about a potential project
• To schedule and manage discovery calls
• To deliver contracted services once a signed agreement is in place with a client
• To maintain the security, integrity, and reliability of this website, including detecting and preventing spam, abuse, and duplicate submissions
• To meet our own legal, tax, and accounting obligations for client work

We do not sell your personal information, use it for targeted advertising, or build advertising profiles about you.

4. Service providers we use

We rely on the following third-party providers to operate this website and process inquiries. Each provider processes information according to our configuration and its applicable terms and privacy practices:

• Supabase — hosts the database where inquiry submissions are stored.
• Vercel — hosts this website and runs the backend function that processes inquiry submissions.
• Zapier — receives inquiry data to trigger our internal notification workflow.
• Resend — sends the confirmation email you receive after submitting an inquiry, and the internal notification email we receive.
• Google Calendar — powers the optional "Schedule a Discovery Call" booking link.

Stripe (payments) and the Vysyon client portal are not currently active or connected to this website. If we introduce online payment processing or client-portal access in the future, we will update this policy before either becomes active, and this section will describe what information each would process at that time.

5. Data retention

• Inquiries that do not become a client project: retained for up to 12 months from submission, after which they are eligible for deletion. We review stored inquiry data on a quarterly basis to remove records past this window.
• Client contracts, communications, invoices, payment records, and business or tax records: may be retained for up to seven years after the client relationship ends, unless a longer period is required by law.
• Client project files: retained according to the terms of the signed service agreement for that project.
• Rate-limit records, security/error logs, and records held by Vercel, Zapier, or Resend on our behalf: retained according to our configured operational needs and each provider's own retention practices, rather than a single fixed period we can guarantee here.

6. AI tools

Submitting the inquiry form does not, by itself, authorize us to use artificial-intelligence tools on anything you submit. If AI tools are used as part of delivering a client project, that use will be described in and governed by the signed service agreement for that project — not by this policy alone. Clients are responsible for owning, or having the rights to, any materials they provide to us for use in a project. Because the public inquiry form is not a secure client intake channel, please avoid submitting highly sensitive personal information through it; if your project involves sensitive material, let us know and we'll arrange a more appropriate way to share it.

7. Security

We apply reasonable technical safeguards to the systems that process inquiry data, including rate limiting, duplicate-submission protection, and access controls on our database that restrict who and what can read or write inquiry records. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Children

This website is not directed at children, and we do not knowingly collect personal information from anyone under 18. If you believe a child has submitted information to us, please contact us at vysyonarymedia@gmail.com and we will remove it.

9. Information sharing

We share your information only with the service providers listed in Section 4, as necessary to operate this website and respond to your inquiry, or when required to do so by law. We do not otherwise sell, rent, or share your personal information with third parties.

10. Your privacy choices and rights (Colorado)

Depending on your circumstances, you may have rights under the Colorado Privacy Act or similar laws, such as the right to know what personal information we hold about you, to request correction or deletion, or to ask questions about how it's used. Whether these specific statutory rights apply depends on factors like the volume and nature of data we process, which can change over time — this section doesn't assume the law automatically applies to every visitor. Regardless of whether a formal legal right applies, we're glad to honor reasonable requests to access, correct, or delete your information — just email vysyonarymedia@gmail.com. Because we do not engage in targeted advertising or sell personal data, there is currently no advertising opt-out to offer.

11. Changes to this policy

We may update this policy as our website, tools, or services change. When we do, we'll update the "Last updated" date at the top of this page. Material changes will be reflected here before they take effect.

12. Governing law

This policy is governed by the laws of the State of Colorado, without regard to conflict-of-law principles.
